Health & Safety
DJF IT Cyberworks Ltd is committed to conducting its business in a responsible manner and taking reasonable steps to protect the health, safety and wellbeing of people who may be affected by our activities.
01 // Our Commitment
DJF IT Cyberworks Ltd provides primarily digital, technical and professional services. Our working environment therefore differs from higher-risk industries, but health and safety remains an important part of responsible business operation.
We aim to identify reasonably foreseeable hazards, reduce unnecessary risk and maintain working practices appropriate to the activities being undertaken.
Work should be organised so that avoidable risks to health and safety are reduced where reasonably practicable.
Potential hazards should be considered before carrying out unfamiliar, physical or site-based activities.
Equipment used for business activities should be suitable for its intended purpose and kept in reasonable condition.
Working arrangements should be reviewed where activities, environments or relevant risks materially change.
02 // Scope of This Policy
This policy applies to activities undertaken as part of DJF IT Cyberworks Ltd's business operations.
These activities may include:
- Website and software development.
- AI and automation development.
- Computer and display-screen work.
- Administration and documentation.
- Remote and home working.
- Meetings with clients and suppliers.
- Travel for legitimate business purposes.
- Visits to client premises or project locations.
- Installation or configuration of appropriate computer or networking equipment where relevant.
03 // Risk Assessment
Risks should be considered in proportion to the activity being undertaken.
Routine office and computer work generally presents different hazards from physical work undertaken at a client location.
Where an activity presents additional or unusual risks, an appropriate assessment should be undertaken before work begins and reasonable controls introduced where necessary.
04 // Display Screen Equipment
A significant part of DJF IT's work involves computers, laptops and display-screen equipment.
Working arrangements should therefore take account of reasonable ergonomic principles, including:
- Appropriate seating and working position.
- Suitable positioning of displays and input devices.
- Adequate lighting where reasonably practicable.
- Regular changes of activity or breaks from prolonged screen work.
- Avoiding unnecessarily prolonged static posture.
05 // Home & Remote Working
Remote working arrangements should provide a reasonably safe environment appropriate to the work being undertaken.
This includes maintaining suitable workspace, electrical equipment, access routes and working arrangements and addressing obvious hazards where reasonably practicable.
Remote working should not prevent health and safety concerns from being identified and addressed.
06 // Electrical Equipment
Computers, displays, chargers, networking devices and other electrical equipment should be used in accordance with their intended purpose.
Equipment showing obvious signs of damage or unsafe operation should not continue to be used until the issue has been appropriately assessed or resolved.
Cables and power equipment should be arranged so far as reasonably practicable to avoid unnecessary trip, damage or electrical hazards.
07 // Fire Safety
Reasonable precautions should be taken to reduce fire risks associated with electrical and office equipment.
Access routes and exits should not be unnecessarily obstructed and electrical equipment should not be used where it appears unsafe.
When visiting another organisation's premises, local fire and emergency procedures should be followed.
08 // Slips, Trips & Workspace Hazards
Workspaces should be kept reasonably organised to reduce avoidable hazards such as trailing cables, obstructed walkways, unstable equipment or unsuitable storage.
Temporary working environments should be assessed using reasonable judgement before equipment is set up or work begins.
09 // Manual Handling
Although DJF IT's normal activities do not generally involve substantial manual handling, equipment such as computers, displays, printers, networking equipment or boxes may occasionally need to be moved.
Unnecessary lifting should be avoided and the size, weight, shape and route should be considered before moving heavier or awkward equipment.
Appropriate assistance or mechanical support should be used where reasonably necessary.
10 // Client Site Visits
DJF IT may occasionally attend client premises, offices, commercial locations or other project sites.
When attending a site controlled by another organisation, reasonable site rules, access restrictions and health and safety instructions should be followed.
Work should not proceed where an obvious and unacceptable risk cannot reasonably be controlled.
11 // Higher-Risk Environments
DJF IT is primarily a digital technology business and does not represent this general policy as authorising work in specialist or higher-risk environments.
Where attendance at a construction, industrial, restricted or otherwise higher-risk location is required, additional site-specific controls, inductions, permissions or risk documentation may be necessary before work begins.
12 // Driving & Business Travel
Where driving is undertaken for legitimate business purposes, the driver is expected to comply with applicable road traffic requirements and operate the vehicle responsibly.
Drivers should avoid using handheld mobile devices while driving and should consider fatigue, road conditions and journey planning where relevant.
Vehicles used for business travel should be legally permitted and reasonably suitable for the intended journey.
13 // Wellbeing
Health and safety includes both physical working conditions and reasonable consideration of wellbeing.
Technology work can involve extended concentration, project deadlines and prolonged screen use.
Work should therefore be organised, where reasonably practicable, to allow appropriate breaks, manageable workloads and reasonable working arrangements.
14 // Contractors & Third Parties
Contractors, suppliers or other third parties engaged in connection with DJF IT activities remain responsible for working safely and complying with applicable requirements relating to their own work.
Where multiple parties are involved in a project, relevant health and safety information should be communicated where reasonably necessary.
15 // Accidents & Incidents
Significant accidents, injuries, near misses or health and safety concerns associated with DJF IT business activities should be reported as soon as reasonably practicable.
Incidents should be reviewed to determine whether reasonable corrective or preventative action is required.
Any statutory reporting obligations that apply to a particular incident will be considered where necessary.
16 // Emergency Situations
In an emergency, protecting people takes priority over protecting equipment, systems or business property.
Where work is being carried out at third-party premises, the emergency arrangements established by the person or organisation controlling the premises should be followed.
17 // Responsibilities
DJF IT Cyberworks Ltd is responsible for maintaining an appropriate approach to health and safety within the scope of its business activities.
Anyone undertaking work on behalf of DJF IT is expected to take reasonable care of their own health and safety and that of other people who may be affected by their actions.
Unsafe conditions or activities should be raised promptly so that appropriate action can be considered.
IMPORTANT: This is DJF IT Cyberworks Ltd's general Health & Safety Policy for its normal technology and business operations. It does not replace a project-specific risk assessment, RAMS document, client-site safety procedure or specialist assessment where the nature of a particular project requires one.
18 // Review of This Policy
This policy will be reviewed where reasonably appropriate and may be updated where our activities, working arrangements or relevant requirements change.
The latest version will be published on this page together with its revision date.
